Privacy Policy

This policy explains what personal information the EffiWise website collects, why, and what we do with it. It is written to be read, not to protect us. If something here is unclear, emailcontact@effiwise.com and we will answer plainly.

Who we are

EffiWise Solutions LLC ("EffiWise") is a technology and consulting firm based in Belmont,MS. For anything in this policy, the data controller is EffiWise Solutions LLC, reachable at contact@effiwise.com.

What we collect, and why

There are only three ways this site collects personal information.

1. When you use the contact form

If you fill out the contact form, we collect the name, email address, optional company, optional phone number, and message you type in, plus the topic tag if you arrived from a specific service page. We use that information for one thing: to read your message and reply to you. The submission is delivered to us by email through Resend, our email provider. We do not add you to a marketing list, and we do not need an account or a password from you.

Text messaging (SMS)

If you give us your phone number and check the SMS consent box on one of our website forms (the contact form or a website request form), you are opting in to receive text messages from EffiWise about your inquiry: things like replies to your message, scheduling, and follow-up on work we are discussing. Consent is optional, it is never a condition of contacting us or buying anything, and the box is never pre-checked. Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP, and get help by replying HELP or emailingcontact@effiwise.com.

Mobile phone numbers and SMS opt-in consent data are never shared with or sold to third parties. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.The only exception is the messaging infrastructure itself: Twilio, our SMS provider, transmits the messages, the same way Resend transmits our email.

2. When you register for a session

If you sign up for AI Inside the Agency, our weekly open hour, we collect your name, email address, agency name, the answer you pick about what you use for AI today, and whatever you write in the optional "what are you working on, or stuck on" box. We use it to send you the join link, a calendar invite, and one reminder the morning of the session, and to know who is in the room. Those emails are delivered through Resend, our email provider.

We keep a record of your registration in our own database, and in PostHog, our analytics tool, so we have a roster for each session and can see which sessions people come back for. This is a record of the form you chose to send us, so it is kept even if you opt out of analytics. The server-side record uses no advertising or cross-site identifier and does not record your location or IP address. Only EffiWise staff can see it, behind a password. The same applies to the contact form and website preview requests: each submission is recorded in PostHog along with how you first found the site (described in section 3), so we know which pages and channels lead to real conversations.

Marketing email is its own decision. The confirmation and the reminder are part of the thing you registered for, so they are sent either way, but we only add you to our email list if you tick the separate, never pre-checked box asking us to. You can unsubscribe from that list at any time.

3. Site analytics

We use PostHog, a first-party analytics tool, to understand how the site is used so we can improve it: pageviews, how visitors move between pages, clicks on next steps like the free audit or a phone number, and session replays that show how a page was scrolled and clicked. Anything typed into a form field is masked and never captured in a replay. We also note how you first found the site (the landing page, the referring site, campaign tags in the link, and whether an AI assistant like ChatGPT sent you) and keep that note in your browser until you send us a form.

This is our own analytics. We do not sell it, and we do not use it to target ads at you. You can switch it off for your browser at any time with Opt out of analytics in the footer, which also switches off the Meta pixel described in section 4. See theCookie Policy for exactly what is stored.

4. Advertising measurement and audiences

We advertise EffiWise in ChatGPT, and we need to know whether those ads lead to anything. So this site loads the OpenAI Ads measurement pixel, a small script from OpenAI. It tells OpenAI that a page was viewed and when someone starts or submits one of our forms, so an ad click can be connected to the request that followed. It loads on every visit and is separate from the analytics opt-out, and it sets a first-party cookie so that one visit's events stay together.

When you submit a form, your email address and name are converted in your browser into a one-way SHA-256 hash, and only that hash is passed to OpenAI so it can match the request to an ad it showed. The readable values are not sent. We do not pass your phone number, your agency or company name, your message, or anything else you typed. TheCookie Policy lists what the pixel stores.

We also advertise on Facebook and Instagram, so this site loads the Meta pixel, a script from Meta Platforms. It tells Meta which pages here were viewed (including our service and website pages) and when a form was successfully submitted or a session was booked. We use it for two things: to measure whether our ads on Meta lead to visits and requests, and to build advertising audiences, which means Meta can show our ads to people who have visited this site, or to people similar to them. Meta receives that activity along with the identifiers its own script collects, such as its cookie and your browser details, and may connect it to a Facebook or Instagram account you are signed in to, under Meta's own privacy policy. We do not pass Meta your name, email address, phone number, or anything you typed into a form.

Unlike the OpenAI pixel, the Meta pixel follows the analytics opt-out: clickOpt out of analytics in the footer and it stops on that page and does not load on later visits from that browser.

What we do not do

• We do not sell or rent your personal information to anyone.
• We do not share or sell mobile phone numbers or SMS opt-in consent data to third parties, and we do not share mobile information with third parties or affiliates for marketing or promotional purposes.
• We do not show third-party advertising on this site.
• We do not sell your data to ad networks. What ad platforms receive from this site is exactly what section 4 describes, and nothing more.
• The only way this site's data is used to target ads is the Meta advertising audiences described in section 4, which show our own ads to past visitors, and the footer opt-out switches that off. We do not use PostHog analytics or anything you send us in a form to target ads.
• We do not ask for sensitive personal information through this site.

Who we share it with

We use a small number of service providers to run the site, and they only touch the data needed to do their job:

• Resend delivers contact-form submissions to our inbox, and sends session confirmations and reminders to you.
• Twilio transmits text messages, and only if you opted in to SMS.
• PostHog processes the site analytics described in section 3, and holds the record of forms you submit, as described in section 2.
• OpenAI receives the advertising measurement events and hashed identifiers described in section 4.
• Meta Platforms receives the page-view and conversion events described in section 4, for ad measurement and advertising audiences.
• Neon provides the database that stores session registrations, so we have a roster for each session.
• Vercel hosts the site and processes standard server request logs.

We may also disclose information if the law requires it. That is the whole list. We are not in the business of moving your data around.

How long we keep it

We keep contact-form emails as long as we need them to handle your inquiry and any relationship that follows, and we delete them when they are no longer useful. Session registration records are kept while the open hour runs, so we know who has attended and can invite you back. Analytics data is retained according to PostHog's settings, which hold usage data on a rolling basis rather than indefinitely. Email us and we will delete your registration record or remove you from the list.

Your choices

• You can opt out of site analytics and the Meta pixel, or opt back in later, using Opt out of analytics in the footer.
• The OpenAI Ads measurement pixel is separate from that opt-out. A content blocker or your browser's tracking protection stops it, and you can email us to ask that a request you sent not be used for ad measurement.
• You can ask us what personal information we hold about you, and ask us to correct or delete it, by emailing contact@effiwise.com.
• You are never required to use the contact form. Email works too.

Depending on where you live, you may have additional rights under laws such as the GDPR or state privacy laws. We honor those requests regardless of where you are.

Children

This is a business site. It is not directed at children, and we do not knowingly collect personal information from anyone under 16.

Changes to this policy

If we change how the site handles personal information, we will update this page and the effective date at the top. Material changes will be reflected here before they take effect.
